This guide is for the Master Terminal — it covers defining what certificates every department must hold, and reading the fleet-wide status view as crew upload their documents.
From Admin → Compliance Matrix, add a required certificate — for example, an ENG1 Medical for every department, or STCW Basic Safety Training specifically for Deck and Engine. Each requirement is tied to a category (STCW, Medical, CoC or Misc) and one or more departments.
As crew upload documents under their own Documents screen, SeaLog matches them against your requirements automatically — by category, and a case-insensitive match on the name. A crew member's own document named "ENG1 Medical Certificate 2026" will satisfy a requirement for "ENG1 Medical" without needing an exact match, since crew don't all name their scans identically.
The matrix shows a red / amber / green status for every crew member against every requirement — on file, expiring soon, or missing entirely — so you can see at a glance who needs to renew or upload something before it becomes a problem.
Documents also covers Passport and Visa entries with the same expiry tracking as certificates — each crew member sees their own passport/visa renewal reminders on their dashboard, using the same amber/red thresholds (the amber threshold at 180 days conveniently doubles as most countries' six-month passport validity rule).
